Timetabling Manager

Job Description
Timetabling Manager
Permanent | £44,000–£47,000 | Hybrid (2–3 days on campus) - Southeast
If you’re an experienced HE timetabler who enjoys solving complex problems, shaping services, and leading capable people through change, this is a rare opportunity to step into a role with real institutional impact.
The University has recently completed a major transformation of how timetabling is delivered. All activity is now fully centralised, the team has greater autonomy than ever before, and timetabling sits at the heart of how the university delivers an excellent student and staff experience.
We are now looking for a Timetabling Manager to lead the service into its next phase.
Why this role is worth your attention
This is not a “keep-the-lights-on” timetabling post.
You’ll inherit a capable, engaged team who know their timetables and systems well, but who now need strong leadership, coaching, and external perspective to help them benchmark their work against sector best practice and grow in confidence.
You’ll also be at the centre of some genuinely interesting challenges:
- Bringing around 2,000 additional students into central timetabling as a partnership moves to direct delivery
- Supporting the implementation of a new academic framework, with more common modules, flexibility, and student choice
- Helping shape how timetabling evolves as the university considers future system options beyond its current environment
- Improving how timetabling is communicated and understood across the institution
If you enjoy balancing strategy with hands-on reality, this role gives you both.
The team you’ll lead
You’ll line manage a team of nine timetabling professionals (reducing slightly later in the year), including two highly technical Senior Timetabling Officers. The team is now largely self-managing, with individuals owning their own areas of the timetable and working directly with academic colleagues on a daily basis.
What they value and what they need is someone with supervisory experience who:
- Understands timetabling deeply and instinctively
- Can coach rather than micromanage
- Can articulate “what good looks like” in the wider HE sector
- Is confident navigating complex stakeholder relationships
What we’re really looking for
We’re open on how you got here, but not on what you bring.
You’ll need:
- Hands-on experience of HE timetabling and a strong grasp of timetabling logic and constraints
- Experience using a timetabling systems (Scientia experience is highly desirable; other systems absolutely considered)
- The ability to see beyond individual timetables to understand institution-wide impact
- Leadership or supervisory capability, with a clear appetite for people management
- Confidence working directly with academics and senior stakeholders
If you’ve worked in more than one institution or have experience of change, growth, or system evaluation, that’s a real advantage but not a prerequisite.
Thinking about applying?
We know timetabling specialists are in demand. If you’re curious but unsure whether you tick every box, we’d still encourage a conversation.
For strong candidates, informal meet-and-greet discussions can be arranged ahead of interview so you can understand the role, the team, and the challenges in more depth.
This is a role for someone who wants to lead timetabling forward, not just maintain it.
