About the role
We are seeking a highly organised and proactive Global Travel Coordinator to manage all travel and venue arrangements that support the smooth delivery of our education courses around the world. To be considered for this role, you will have experience in a travel-related position or relevant international travel coordination experience, and the ability to quickly grasp the operational needs of our business. You will be an excellent organiser and communicator who thrives in a fast-paced, evolving environment. You must be confident working both independently and as part of a collaborative team, with a strong attention to detail, a problem-solving mindset, and the flexibility to adapt to changing business requirements.
As the Global Travel Coordinator, reporting to the Facilities & Logistics Manager, you will be responsible for:
- Coordinating all global travel and accommodation for instructors and employees
- Researching, booking, and managing flights and related travel logistics
- Arranging hotel accommodation across multiple international destinations
- Sourcing and securing appropriate training venues worldwide
- Negotiating and managing contracts with global venue providers
- Reviewing and fulfilling venue terms and conditions to ensure compliance
- Monitoring and maintaining cost-effective travel solutions within set budgets
- Managing travel documentation, itineraries, visa requirements, and budget tracking
- Researching and coordinating visa and entry requirements for global destinations
- Providing support and solutions for instructor or staff travel issues
- Anticipating and resolving issues promptly to ensure uninterrupted course delivery
- Maintaining accurate and up-to-date travel and instructor logistics records
- Supporting the wider Operations team with planning and coordination as needed
- Identifying and implementing continuous improvements to travel and venue processes
To be successful in this role, you will bring:
- Previous experience in a travel agency, corporate travel, or similar travel coordination role
- A strong understanding of and sensitivity to global cultures and international working environments
- Excellent planning, organization, and time management skills, with the ability to multi-task and manage a varied workload
- A confident and professional telephone manner
- Strong interpersonal skills and the ability to build effective working relationships both internally and externally
- The ability to communicate clearly and professionally with individuals at all levels, including those from diverse cultural backgrounds or where English is not their first language
- A proactive, enthusiastic, and self-motivated approach with a can-do attitude
- The ability to remain calm and accurate when working under pressure
- Strong prioritization skills and the ability to use your own initiative to meet tight deadlines
- Exceptional attention to detail
- The ability to work independently with minimal supervision as well as part of a collaborative team
- Confidence using Microsoft Office 365 (Outlook, Excel, Word, Teams, etc.)
- A commitment to ongoing professional development
- Additional languages are desirable and will be considered an advantage
