Conveyancing Paralegal / Legal Secretary - Established London Law Firm


London (Offices in The City, West End and Sutton. - flexibility required)

As we continue to grow and expand our services, we are seeking a highly motivated and enthusiastic Paralegal/Legal Secretary to join our dynamic team. The Role


You will play a vital dual role, providing essential administrative and secretarial support to fee earners while also undertaking substantive paralegal tasks. This position is ideal for someone with 1-3 years of experience in a law firm setting who is eager to take on responsibility, learn quickly, and contribute significantly to the smooth running of our practice.


Key Responsibilities


Administrative & Secretarial:


  • Efficient diary management, scheduling appointments, meetings, and court dates.

  • Comprehensive document production (letters, emails, forms, agreements, court bundles) using Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

  • Managing incoming and outgoing post, emails, and telephone calls professionally.

  • Accurate digital and physical file management, opening/closing files, and maintaining organized systems.

  • Preparing bills and assisting with basic accounting tasks.

  • Organizing travel arrangements where necessary.

  • Providing general administrative support to the team as required.


Paralegal:

  • Drafting standard correspondence, forms, and basic legal documents under supervision.

  • Conducting legal research using online resources (e.g., Practical Law - training provided if needed).

  • Assisting with case/file preparation, including bundling, indexing, and pagination.

  • Liaising with clients, counsel, agents, courts, and other third parties professionally.

  • Proofreading and checking legal documents for accuracy.

  • Managing document disclosure and discovery processes.

  • Assisting with file reviews and due diligence exercises.

  • Maintaining accurate time records.


  • Adhering strictly to firm procedures, compliance requirements, and data protection regulations (GDPR).

  • Contributing positively to team collaboration and a supportive working environment.



Essential Skills & Experience


1-3 years of proven experience working as a Paralegal, Legal Secretary, or in a similar support role within a law firm or legal environment.


Organizational and time management skills with the ability to prioritize effectively and meet deadlines in a fast-paced environment.

  • Attention to detail and commitment to accuracy

  • Strong written and verbal communication skills

  • High level of proficiency in Microsoft Office Suite Word, Excel, Outlook

  • Ability to work independently using initiative and as part of a collaborative team

  • Professionalism, discretion, and a client-focused approach

  • Enthusiastic, proactive, and willing to learn

  • Flexibility to work across our City, Sutton and West End offices as required.


Desirable Skills & Experience


  • Conveyancing experience is highly advantageous.

  • Experience using a legal case management system (e.g., LEAP).

  • Familiarity with legal terminology across multiple practice areas.

  • Typing speed of 60+ wpm.

  • Dictation with Tapes.

  • Dictation with digital products such as Big Hand or Phillips.
