Operations Manager - Job Specification

Role Purpose


As Operations Manager, you will lead the execution and continuous improvement of all operational functions—bringing structure, clarity and oversight to our systems, processes and internal coordination. You will be responsible for making sure things run on time, to standard, and in line with the overall direction of the organisation. This includes managing internal processes, supporting cross-functional teams and proactively solving problems before they become blockers.


Key Responsibilities


Gross Profit Management


  • Keeping track of GP percentages on staffing, equipment and drinks
  • Highlighting any issues and giving feedback on cost changes that may be necessary.
  • Making effective cost saving decisions where necessary.


Suppliers and In-House Management


  • Managing relationships with operational suppliers, giving feedback on any issues that arise. Always looking for potential alternatives - from a quality, money saving etc. perspective. 
  • Organising internal and external equipment, including storage, managing the storage process and logistics of hiring out. This will also include the development of a more efficient tracking system for equipment coming in and out as we scale up our operations. 
  • Expanding on the current booking process of both internal and external equipment - including developing a more efficient and standardised system for ordering equipment for reoccurring events. 


Event logistics

 

  • Venue management, acknowledging any and all restrictions including RAMs, loading logistics, access to water and electricity. As well as working with the venue’s events team to ensure a smooth event.
  • Managing drinks stock and cash bars.
  • Pulling together detailed event briefs for all large events that are informative for both the staffing manager and the Front of House staff. 
  • Liaising with clients, gathering all operational information, going on site visits and managing logistics potentially between client, venue, production and other external suppliers.
  • Pre-emptively envision any issues arising on event day and mitigate problems before they arise, delivering a seamless experience for client and venue.
  • Work closely with the kitchen and event/account manager and the kitchen to ensure efficient service. This will include collaborating on tastings, floorplans, event design and service plans.


Driver Manager


  • Manage the delivery and collection schedule of our drivers, making sure we can deliver several events on the same day.
  • Communicating with the kitchen to make sure delivery timelines are feasible.


Operational Development


  • As we enter our fifth year of operation, we are looking to grow as an organisation. The Operations Manager would play a key role in this expansion. They would be pivotal in developing the necessary processes and efficiencies in place that would allow arch to grow without compromising our service delivery and quality levels. This will include but will not be limited to looking at ways to improve and streamline current processes, continue developing documentation of venues, equipment costing docs and event brief documents.
  • Oversee the packing and return of equipment from the Unit, checking that the correct events are leaving at the correct times with the correct food, equipment and other necessary components. 


Essential Skills & Experience


  • Proven experience managing operations or projects at scale
  • Experience of running large banqueting style events 
  • Strong organisational and time management skills—you plan ahead and think in systems
  • Excellent communication and interpersonal skills
  • Able to remain calm, focused and positive under pressure
  • Demonstrated ability to prioritise and follow through reliably
  • Tech-savvy and comfortable using a range of digital tools and platforms
  • High standards for accuracy, efficiency, and consistency


Salary: £40k - £45k
