This is an opportunity to join the Corporate team, providing high-quality PA support to partners and fee earners.

Owen Reed is seeking an experienced and proactive Legal PA to join the Corporate team of a leading law firm. This role will provide high-quality support to partners and fee earners, combining strong organisational skills, matter management expertise and a proactive approach to client service.

The Role

As Legal PA, you will provide comprehensive administrative and PA support, assisting with financial management, matter management, business development, diary and travel coordination, and wider operational support.

Key Responsibilities

Fee Earner and Financial Support

  • Work collaboratively with Finance teams to support fee earners’ financial performance, including billing, reporting, management of matter balances and working capital
  • Support all matter management processes, including applying correct rates at matter opening, preparing engagement letters and liaising with the Business Acceptance Unit
  • Manage conflict checks and Client Due Diligence processes, completing the Client Matter Inception process in line with firmwide protocols
  • Ensure file management processes are completed correctly, including matter closures, billing, clearing balances, WIP management and archiving

Business Development Support

  • Work closely with Business Development to support events, conferences, CRM administration, CV updates, credentials databases, bids, tenders and pilots
  • Where supporting a Client Relationship Partner, assist with organising relationship meetings, events and compiling client reports as required

Diary, Travel and Meeting Management

  • Provide comprehensive diary management, forward planning and meeting coordination
  • Manage travel arrangements, including identifying cost-effective options for complex travel requirements
  • Coordinate meeting logistics, including preparation of meeting packs, itineraries, room bookings and hospitality arrangements

Administrative and Operational Support

  • Utilise the Cube for all administrative tasks, taking ownership to ensure timely and accurate completion
  • Delegate appropriate tasks to Document Production, including pitch documents, tenders and legal document amendments
  • Demonstrate technical competency to support fee earners effectively and address knowledge gaps where needed
  • Adhere to the firm’s risk and compliance policies, escalating issues where appropriate
  • Complete all compulsory firm training and required compliance returns on time

Skills and Experience Required

  • At least three years’ experience, or equivalent, gained within a comparable environment and at an appropriate level
  • Excellent verbal and written communication skills, with strong grammar and punctuation
  • High degree of competence in Microsoft Office
  • Proven experience delivering exceptional client service
  • Strong attention to detail and experience working in a fast-paced environment
  • Ability to work collaboratively as part of a team, while also working independently
  • Strong organisational skills and ability to manage competing priorities
  • Willingness to work flexibly to meet client needs
  • Commitment to exceeding expectations and delivering high standards of support
