As the Logistics Support Specialist, your job purpose is to
Lead and coordinate logistics support activities across the business, driving operational excellence through efficient freight and warehouse coordination, data-driven decision-making, and process automation. Play a critical part in optimising logistics performance, improving data integrity, and supporting strategic supply chain initiatives
What you’ll be doing
Operational Support & Coordination
Act as the point of support for all freight movements including inbound, export and logistics operations across the business. Coordinate with nominated freight partners and 3PL (third-party logistics) providers to ensure timely and cost-effective movement of goods. Collaborate with internal teams to support warehousing, distribution, and logistics planning activities.
Data Management & Optimisation
Oversee the maintenance and accuracy of logistics route data in the GDP database and other core systems. Lead data cleansing and optimisation initiatives to improve supply chain visibility and efficiency. Identify gaps or inefficiencies in logistics data workflows and implement improvements.
Automation & Process Improvement
Work with cross-functional teams to automate routine logistics processes such as freight bookings, quote logging, KPI reporting, and invoice validations. Lead or support the implementation of digital tools and RPA (Robotic Process Automation) where appropriate to streamline logistics operations. Champion the use of dashboards and analytics tools (e.g., Power BI, Tableau) to improve decision-making and reporting. Identify and implement process improvements to enhance the accuracy and efficiency of inventory reconciliation between internal systems and 3PL/4PL partners.
Cost Control & Invoice Management
Own the freight quote management process, including rate benchmarking, negotiation support, and maintaining quote logs. Log, verify, and approve warehousing and freight invoices in alignment with budgetary controls and SLA expectations.
Reporting & Performance Analysis
Develop and distribute a consolidated Logistics KPI pack to track performance across key metrics (e.g., on-time delivery, cost per shipment, invoice accuracy). Support ad-hoc reporting requests and analysis to assist in performance reviews and continuous improvement initiatives.
Documentation & Compliance
Maintain and update the logistics work instruction database to ensure process transparency and training readiness. Ensure full compliance with Pharma GDP (Good Distribution Practice), customs procedures, and international standards (e.g. dangerous goods, trade compliance). Lead internal audits or documentation reviews related to logistics operations.
Project & Change Management
Actively participate in cross-functional project teams for new product launches, market entries, or system rollouts (e.g., ERP). Support integration activities for logistics operations during mergers and acquisitions. Lead small-to-medium logistics change initiatives with measurable process or cost benefits.
What we are looking for
Extensive experience in logistics, supply chain support Extensive experience in freight operations, both import and export A strong understanding of logistics data structures, route planning, and warehouse processes Experience in systems transition and data integration A strong experience with process automation tools, ERP systems, and Power BI/reporting platforms Analytical mindset with the ability to interpret and act on large datasets Advanced knowledge of MS Excel including power queries, macros/VBA Good experience with programming I.E. python or similar desirable Excellent communication and stakeholder management skills High attention to detail and strong organisational capabilities Knowledge of trade compliance and customs processes
