Accounts Payable Assistant (Junior / Graduate)

We’re working with a fast-paced and highly creative design agency looking for a Accounts Payable Assistant to join their growing finance team. This is a brilliant opportunity for someone with 6 months’ AP experience or a bright graduate with a strong interest in finance and accounting to build their career in a dynamic, project-driven environment. You’ll gain hands-on experience across the full accounts payable function, working closely with the wider finance and operations teams in a creative agency setting.


Key Responsibilities

Invoice Processing

  • Receive and process supplier invoices for goods and services
  • Check and validate key details including:
  • Invoice amount
  • Vendor name
  • Purchase orders (where applicable)
  • Accurately input invoices into the accounting system


Verification & 3-Way Matching

  • Perform 3-way matching between:
  • Supplier invoices
  • Purchase orders
  • Delivery notes / receipts
  • Ensure the business only pays for goods and services received


Payment Processing

  • Schedule and process supplier payments via:
  • Bank transfers
  • Cheques
  • Online payment systems
  • Ensure all payments are made accurately and on time to avoid late fees


️ Record Keeping

  • Maintain accurate and organised financial records including:
  • All invoices
  • Payment records
  • Outstanding supplier balances
  • Support audit readiness and financial reporting requirements


Supplier & Vendor Communication

  • Act as a point of contact for supplier queries, including:
  • Payment status updates
  • Invoice discrepancies
  • Investigate and resolve any issues or disputes professionally


Reconciliations

  • Reconcile supplier statements against internal records
  • Identify and resolve any missing or incorrect transactions


Expense Tracking & Reporting

  • Assist in tracking company spend across projects
  • Support the finance team with reporting on:
  • Monthly expenditure
  • Outstanding liabilities
  • Supplier activity


About You

  • 6 months’ experience in Accounts Payable OR a recent graduate with strong interest in finance
  • Detail-focused with strong organisational skills
  • Comfortable working in a fast-paced, creative environment
  • Strong communication skills for dealing with suppliers and internal teams
  • Experience with Paprika software (or similar systems) is desirable
