My client, a highly regarded think tank is looking for an experienced Team Assistant to support the small but powerful team of 17 individuals. Based in phenomenal offices in London’s West End, the team is close knit and deeply passionate about the think tanks wider mission. They focus on research that helps inform public policy and shape public debate. Their research spans policy areas such as economy, sovereignty, family life, energy, health, disinformation, and migration.
\n\nWe are looking for a candidate that not only as the relevant experience as a Team Assistant but also aligns with the values and cares for the tank’s wider mission.
\n\n5 days office based
\nCore hours: 8:30am-6pm
Administrative Support
\n• Assist with scheduling internal appointments and coordinating internal meetings.
\n• Assist with staff travel bookings.
\n• Prepare and distribute documents, correspondence, and reports as needed.
\n• Assist with internal communication such as company-wide announcements.
\n• Conduct research and compile data as required.
\n• Manage and update contact lists, files and databases.
Events Support
\n• Assisting the Events Manager in the planning and coordination of event life cycle.
\n• Compiling and overseeing guest lists, as well as circulating invitations.
\n• Assisting with event timelines and schedules to ensure all tasks are completed.
\n• Provide on-site support during events, including guest registration, coordination of activities, and troubleshooting any issues that arise. This may require out of hours work.
Office Operations
\n• Manage office supplies inventory and place orders when needed.
\n• Assist in coordinating with vendors for office maintenance,repairs,andservices.
\n• Ensure daily meeting room checks are completed and rooms are immaculate.
\n• Suggest ideas that will improve the elegance of the office.
Front desk Support
\n• Provide cover and support for Front of House when required.
